This huge event needs a small army of helpers to ensure all goes smoothly, we hope people will give some time to assist. The marshalling duties are by no means onerous and need only be for a couple of hours either or both days. Full instructions will be given along with hi-viz tabards. If you are entering a vehicle, you will receive a full refund once you have completed your marshalling duty.

Terms and Conditions

General Conditions

By attending the Historic Vehicle Gathering at Powderham ( HVG)  you do so entirely at your own risk. The Crash Box Classic Car Club Ltd (the Organisers) shall not be liable for any injury, damage or loss to you, other than in respect of any injury or loss arising directly as a result of our own negligence. You agree to take full responsibility for your own safety, property, health and wellbeing during and after the event and, if unsure of your own ability or condition to attend, to take appropriate third party advice.

The Organisers cannot accept financial or other responsibility for any loss or liability incurred by visitors to the Show as a result of contracts entered into by visitors with any exhibitor or advice sought or obtained from any exhibitor.

Visitors may be photographed, filmed or recorded for marketing, broadcast or security purposes during the Show. By attending the Show, visitors authorise such photography and recording and permits the Organisers to use their images, likeness and voice for archival and promotional purposes in any and all media, without liability, compensation or credit

Entry fees are non-refundable. No discounts or refunds will be given due to adverse weather conditions which result in the show being abandoned.

All participants shall adhere to CBCCC Ltd  Health & Safety Guidelines.

Data Protection. Your name, address, telephone number, email and car details are being collected by and on behalf of the CBCCC Ltd. This will be used for the event management and entry list. It will be securely stored and not used for any other purpose or shared with other organisations, you have the right to withdraw your consent to use your data.

Showground  exit gates will be closed until 4.30 on both days.

Insurance & Licences

The Owners and Drivers of the exhibit or entry must be covered by a current Third-Party Insurance Policy, including Exhibitor use; a copy of which MUST be made available for inspection by a club official if requested.

All drivers must be fully competent, have a valid and appropriate licence, be qualified to drive or handle the exhibit or entry and comply with normal public road laws throughout the site including the use of alcohol or illegal drugs.

NO exhibit or entry may be left running unattended. Unattended vehicles MUST be left securely ‘braked and immobilized’ (ignition keys must be removed). All Working exhibits must be in a safe working condition.

On Site Access & Movements

Stall holders and Exhibitors vehicles/trailers may be parked on the show site for loading and unloading purposes only, before 10am and after 6pm each day unless they are parked on a pitch or space that has been booked or allocated. Parking for Stall holders  vehicles and trailers is available FOC in a separate area.

Please note that, for Health & Safety reasons, you may NOT move your exhibiting vehicle or exit your designated area prior to 4.30 on either day of the Show. In exceptional circumstances a vehicle may be moved if authority has been given by the CBCC Control Centre and only once vehicle is under the control of a Marshal, this can be arranged from CBCCC Control. A minimum of  half an hour will be required to organise this.

A MAXIMUM speed of 5 MPH shall apply to all moving vehicles on the site or any part of the Powderham Estate. Any exhibitor found to be exceeding the speed limit will be asked to leave and may in some circumstances be prevented from attending future events.

All owners and drivers must obey Marshals’ instructions and not inconvenience or endanger any persons or animals on the site or on any part of the Powderham Estate.

Stall Holders

All Stall holders must be covered by Public Liability Insurance, a copy of which MUST be made available for inspection. No Sub-letting or sharing of pitches is allowed. One vehicle pass and two wristbands are supplied for the first 3m x 8m pitch booked;  additional 3x8m pitches can be booked at the discounted price but wristbands are not included.  Additional vehicle passes are available. Additional wrist bands are available at the standard exhibitor entry cost. Access is available from Thursday 10am to 6pm, Friday 10am to 6pm and from 7am to 9.30am on Saturday and Sunday.

Dogs

Dogs are very welcome but must be kept on a SHORT lead at all times throughout the weekend and all owners must have poo-bags and water available and must clear up after their dogs. Dogs MUST NOT be left un-attended in any vehicle (either on the showground, exhibiting or car park) at any time. The CBCC reserve the right to call the necessary emergency services if any dog is found left in a vehicle and appears to be in distress or discomfort and will not be held liable for any damage caused to any vehicle.

Camping

Camping Fees apply for overnight stays whether in the Camping Field or anywhere on the Rally Site.

Camping Fee for the weekend Thursday to Sunday is £60.00. Standard 12m x 8m pitch or multiples of. You must display your camping pass at all times

The gap between all caravans Motorhomes tents must be at greater than 3 meters. Please site caravans, motorhomes, or tents at least 1.5 meters from the pitch boundary.

Vehicles can be parked on camping pitches if space allows but must be at least 1.5m from adjoining pitch boundary.

Open fires are prohibited.

Disposable BBQs or BBQ that have direct contact with the ground are prohibited.

Refuelling of all vehicles and equipment is prohibited on the camp site.

All grey water must be collected and disposed into the tank sited next to the Campsite toilets.

There will be a chemical toilet disposal tank located next to the Campsite toilet/shower block.

Road speed limits inside and outside camping field is 5 MPH this will be robustly enforced.

Parking is to be prohibited on the campsite access roads.

Private generators are not permitted unless there is a medical exemption and then only silent running units.

Campsite no noise between 11pm and 7 am please be considerate to other campers at other times.

On show days the Camp Field Gates will be closed between 10am & 4.30pm.

Turn off water taps and leave all facilities; toilets, showers etc. in a condition you would expect to find them.

Do not tamper with any facilities, water, electricity, equipment, gates or fences. Please report any such activity to Camp Control, Main Control or Security.

Please be aware that your pitch will be inspected for layout.
